One Medical is seeking an Administrative Assistant (Member Support Specialist) to provide exceptional in-office support and create a positive patient experience. This role serves as the first point of contact for patients, supports front office operations, manages administrative tasks, and helps remove barriers to quality healthcare access.

Position Overview

The Administrative Assistant (Member Support Specialist) acts as an ambassador for patients by delivering outstanding service, supporting office operations, managing patient interactions, and maintaining a welcoming healthcare environment. The role requires strong communication skills, empathy, problem-solving abilities, and the ability to work collaboratively with healthcare teams.

Key Responsibilities

Patient Support & Front Office Operations

  • Provide exceptional patient interactions using the C-I-CARE communication framework.
  • Support patient intake, same-day scheduling, follow-up scheduling, and patient outreach activities.
  • Assist with check-in and check-out processes.
  • Perform insurance verification, printing, paperwork, test preparation, and administrative tasks.
  • Monitor patient feedback and support improvements to the patient experience.

Office Administration & Team Support

  • Maintain the look and feel of patient and employee-facing spaces.
  • Complete opening and closing duties and daily office upkeep.
  • Restock supplies and maintain organization within the office.
  • Support Practice Coordinators, Operations Managers, and in-office providers with administrative requests.

Technology & Collaboration

  • Use technology tools including Slack, G-suite, Zoom, and the 1Life Electronic Medical Record System.
  • Participate in team huddles, rounding, and team problem-solving activities.
  • Contribute to team development and collaborative workplace initiatives.
  • Complete daily responsibilities using multiple software systems simultaneously.

Required Qualifications

  • At least one (1) year of experience in high-touch customer or patient-facing roles.
  • Strong written and verbal communication skills.
  • Experience working in collaborative, diverse, and feedback-driven teams.
  • Ability to adapt to change and demonstrate problem-solving skills under pressure.
  • Proficiency with computer technology, internet navigation, typing, and multiple software systems.

Preferred Qualifications

  • Experience supporting healthcare or patient-facing environments.
  • Experience working with electronic medical record systems.
  • Experience in customer service-focused administrative roles.

Work Environment

This is a full-time, in-person position based in San Francisco’s Financial District. The role supports offices located at 2 Embarcadero Center, Clay Street, 4 Embarcadero Center, and Sutter Street. The schedule is Monday through Friday, 7:30 AM to 6:00 PM. Office locations and schedules are subject to change.

The position involves mostly sedentary work with occasional walking or standing and may require exerting up to ten pounds of force occasionally.
