Position Overview

The Administrative Coordinator supports the Director of Operations and operational teams by managing daily administrative requirements, coordinating meetings and events, preparing reports, maintaining records, supporting employee initiatives, assisting with recruitment activities, and ensuring efficient administrative processes.

Key Responsibilities

Administrative Coordination & Operations Support

  • Manage daily administrative requirements for the Director of Operations and business units.
  • Coordinate meetings, seminars, and special events, including virtual, office, and off-site activities.
  • Prepare documents and presentations for operational, union, and strategic meetings.
  • Attend meetings, document follow-ups, and track action items.
  • Provide administrative support to operations teams as required.

Employee & Organizational Support

  • Support employee engagement initiatives and community activities.
  • Assist with employee recognition programs.
  • Support recruitment, onboarding, and orientation activities for warehouse employees.
  • Maintain positive internal and external business relationships.
  • Support union-related activities while ensuring compliance with collective agreements.

Reporting & Data Management

  • Prepare daily, weekly, and monthly reports as required.
  • Create and maintain organizational filing systems.
  • Maintain accurate organizational databases and records.
  • Support payroll tracking and attendance management using ADP systems.
  • Analyze attendance trends, delays, and absences.

Financial & Inventory Administration

  • Support budget tracking activities.
  • Assist with office supply ordering and inventory management.
  • Maintain accurate administrative documentation.
  • Participate in projects supporting business and operational objectives.

Required Qualifications

  • More than three (3) years of related administrative experience.
  • Strong proficiency in Microsoft Office Suite and Office 365, including Outlook, Word, Excel, PowerPoint, SharePoint, OneNote, and Teams.
  • Ability to manage multiple projects and priorities while meeting deadlines.
  • Strong attention to detail, accuracy, and efficiency.
  • Strong interpersonal and organizational skills.
  • Ability to learn new software and technology systems.
  • Proficiency in written and spoken English to support internal and external clients outside Quebec and/or in the United States.

Preferred Qualifications

  • Experience in administrative, accounting, or management functions.
  • Knowledge of ADP, Workday, or SAP Ariba.
  • Experience working with unions.
  • Experience supporting operational teams in a warehouse or business environment.
